Create a AI generated summary for a long and complex document

Notification: The AI summary feature in Collavate is available for free to all users during the beta period. This feature allows you to summarize any document with limited functionality until its official release.

Collavate’s AI summary feature helps you quickly understand the key points of a document, even on small screens, by automatically summarizing important content, thus enhancing productivity. The generated summaries reduce unnecessary communication and help all stakeholders make informed decisions based on consistent information.

Enable Collavate AI Summary Feature

Administrator Setup Instructions

To allow domain members to use the AI summary feature, follow these steps:

  1. Log in with your Collavate administrator account.

  2. Go to the Admin Collavate AI menu.

  3. Enable Collavate AIToggle_on.

  4. (Optional) To enable automatic AI summarization when viewing approval documents, select Enable Auto-Summarizing.

  5. Click Save Settings.

Use Collavate AI Summary Feature

Generate AI Summaries for Document Content

To generate an AI summary for a document submitted via Collavate, follow these steps:

  1. Go to the process menu.

  2. Open an approval from the list.

  3. In the document list at the bottom left of the approval popup, click the Summary button next to the document title you want to summarize.

Note: During the beta period, the AI will automatically summarize the selected document within 500 characters. The generated summary is not saved and will be deleted when you close the popup or navigate away.

Note: Cases where summaries may not be generated:

  • Documents with insufficient text

  • Documents with too many images

  • Unsupported file extensions

Disable the Automatic Summary Feature

If the administrator has enabled the automatic summary feature, the AI summary will be activated every time you view an e-approval. To disable this, follow the below steps:

  1. Click the Summary button next to the document title in the document list at the bottom left of the approval popup.

  2. Click the X(close) button at the top right of the summary area.

  3. In the notification window, select Disable “Auto-Summarizing”.

  4. Click Close.
