Submit your Google Drive files for approval

Google Drive allows users from different locations to collaborate in real time. In fact, over two billion users create documents with Google Drive every month. However, because Google Drive is primarily designed for collaboration, using it for electronic approvals can require extra time and effort.

As a result, many organizations copy and paste Google Drive files into separate approval or archiving systems. This creates inefficiencies—especially when documents are updated—because it becomes difficult to accurately track the final version. For global companies operating across multiple countries, the need for a robust system to manage and approve documents across regions and time zones is critical.

Preparation for Smooth Approval Collaboration

Receiving appropriate notifications based on the approval process status is crucial to preventing work delays. Collavate supports smooth work collaboration and is available in 12 languages, including Korean, English, Japanese, and Chinese.

Change the default language setting

You can change the default language settings in Collavate to alter the language displayed in the interface and the language of the notifications received. When you change the default language, all notifications sent from Collavate will also change to the selected language.

  1. Click on the profile image in the upper right corner.

  2. Click on My Account.

  3. Go to the Settings menu.

  4. Open the dropdown menu in the Language section and change to the desired language.

Change notification settings

You can receive notifications when updates related to you occur in posts or electronic approvals. To change the notification settings for each situation, follow these steps:

  1. Click on the profile image in the upper right corner.

  2. Click on My Account.

  3. Go to the Notifications menu.

  4. Click the dropdown menu for each item to change the notification settings.

  5. Click Save to save the changes.

Note: Some notification items cannot be turned off.

Conducting the Approval Process

Once all settings are complete, you can easily send review requests for Google Drive documents in Collavate. Users designated as reviewers will receive notifications via email or Google Chat connected to Collavate. If no further review is needed, they can immediately approve or reject the document through the received notification.

Submit documents for approval

  1. Click ProcessProcess Start Process.

  2. Select the path of the file to be processed and click Open.

  3. Add/edit the approvers.

  4. Once the document editing is complete, click submit for Approval.

Review received documents

  1. Click the Review button from the email.

  2. If necessary, click the Edit button to edit the document.

  3. If necessary, enter comments in the Process tab.

  4. Click Approve or Reject.
